Student Assistant for Asia Departments (HQ)

International Media Support (IMS) is seeking a Student Assistant for our Asia Department to support the programme teams in financial management.

Job summary

Are you an internationally oriented BA/MA student interested in applying your skills and kickstarting your career in an international non-profit organization working with media development? International Media Support is looking for a Student Assistant to support the programme teams in finance and administrative management of our programmes with a specific focus on professional bookkeeping tasks and quality assurance of financial reports. Furthermore, the Student Assistant will take an important role in supporting developing programme budgets for donors and local partners. The Student Assistant for Asia will refer to the Asia Department Manager. 

International Media Support supports local independent media and media advocacy groups in countries affected by conflict, political transition, and authoritarian rule. Set up in 2001, the organisation has since then worked with hundreds of local and international partners to support independent journalism, freedom of expression and the safety of journalists.

Main responsibilities

Quality controlling of accounts and financial reports from partners and consultants, including preparation of bookkeeping documents.  Prepare payment documents in accordance with allocated budgets and contracts. Prepare advance requests and collect cash from bank. Support with administrative tasks, such as archiving, taking minutes and assist with processing contracts in the contract flow. Support programme teams in developing large programme budgets in compliance with IMS financial systems. Support programme teams with logistical arrangements for IMS Asia events, incl. travel arrangements. Any other tasks (including practical/logistical tasks) that may be needed within the Department or required by management in line with the types of activities outlined above

Qualifications and skills

Candidates with the following requirements are eligible to apply:

Relevant educational studies (preferably last year of BA/first year of MA) in e.g. accounting, finance or administration or social sciences (political science, development studies or economics); Excellent command of Excel is a prerequisite; Experience with Sharepoint and Microsoft Dynamics NAV/Business Central is an asset; Knowledge and experience of administration and financial control procedures in relation to project administration will be considered an asset; Fluency in written and spoken English is a prerequisite; Language proficiency from an IMS programme country in Asia will be considered an asset; Experience working with international donors compiling financial and narrative reports and adhering to donor guidelines will be considered an asset.

Duration and location

The Student Assistant position is part-time 15 h/week. The position is limited to 12 months with a probation period of 3 months, and with the possibility of extension. Compensation commensurate with experience and IMS policies.

Duty station: IMS headquarters, Copenhagen, Denmark. 

Start date: 1st of August
