About the role
CBRE Global Workplace Solutions (GWS) is looking for a proactive, service-minded and structured Facilities Supervisor to support Integrated Facilities Management delivery across the Johnson Controls portfolio in the Nordic region. This is an excellent opportunity for a facilities professional who wants to develop a client-facing, regional role with exposure to operations, vendors, compliance, finance, reporting and continuous improvement.
Based from Holme, Aarhus, the Facilities Supervisor will work closely with the Nordic Facility Manager and support a portfolio of more than 40 locations across Denmark, Norway and Sweden, including offices, warehouses and production facilities. The role will be central to maintaining safe, functional, and compliant workplaces while supporting a high-quality service experience for Johnson Controls and CBRE stakeholders.
During onboarding, the Facilities Supervisor will receive structured knowledge transfer and mentoring from the current Nordic Facility Manager, gradually assuming increased responsibility for operational delivery and account support.
What you'll do
Facilities operations
- Support the day-to-day delivery of Facility Management services across the Nordic portfolio.
- Coordinate operational activities, service requests and follow-up actions across office, warehouse and production environments.
- Support planned and reactive maintenance activities and help ensure safe, functional, and compliant workplaces.
- Maintain accurate facility records, documentation, operational data, and site information.
- Contribute to workplace experience initiatives, service improvements and process standardization.
Vendor management and service delivery
- Coordinate activities performed by external service providers and contractors.
- Monitor vendor performance and support follow-up where service delivery or compliance needs improvement.
- Support service reviews, quotation processes, minor projects, and vendor-related action tracking.
- Help ensure contractors follow site-specific safety, access and operational requirements.
Performance, reporting and systems
- Monitor and support reporting of KPIs, SLAs, work orders, planned maintenance, and service performance.
- Use operational systems and reporting tools to support data accuracy, transparency, and informed decision-making.
- Support corrective and preventive actions, escalation follow-up, and continuous improvement initiatives.
- Work with tools such as IBM Maximo, Coupa/myBuy, Vantage and Microsoft 365 applications where applicable.
Financial administration
- Support purchase order creation, management and tracking.
- Assist with invoice approvals, financial reconciliations, budget tracking, accruals, and cost control activities.
- Ensure compliance with CBRE and client financial processes and contribute to financial summaries and reporting packs.
Stakeholder, client and governance support
- Build strong working relationships with site contacts, vendors, internal teams, and client stakeholders.
- Act as a key operational point of contact for FM-related matters.
- Support client meetings, business reviews, governance routines, and performance discussions.
- Promote CBRE's values of Respect, Integrity, Service and Excellence in daily delivery.
Compliance, safety and governance
- Support compliance with CBRE policies, client requirements, and local regulations.
- Assist with HSEQ activities, audits, inspections, compliance reviews, and corrective action tracking.
- Help promote a strong safety culture across all supported sites.
What you'll need
Required
- Experience within Facilities Management, Property Management, Building Operations, Workplace Services or a related operational environment.
- Strong organizational, planning, and coordination skills, with the ability to manage several priorities across multiple locations.
- Experience working with service providers, stakeholders, and/or clients in an operational setting.
- Good understanding of operational and administrative business processes.
- Strong customer service mindset and professional communication skills.
- Proficiency in Microsoft Office applications, particularly Outlook, Excel, Tea
