The Role

Are you a student looking for a flexible job where you can gain valuable experience alongside your studies? Would you enjoy working in an international biotechnology company while supporting a collaborative team that keeps projects and operations running smoothly? In our Global Regulatory Affairs team, you will support the Operations & Resources Manager (ORM) with a variety of administrative and coordination activities that contribute to the efficient operation of the department.

From tracking data, documents, and contract approvals to submitting purchase requisitions (PRs) and preparing Task Order and Change Order templates, you will play an important role in supporting regulatory operations while gaining hands‑on experience in a dynamic, global environment.

We are looking for someone who enjoys providing support, staying organized, and keeping a clear overview of multiple activities. You have an eye for detail, are eager to learn, and are comfortable working independently as well as collaboratively.

You will work approximately 15 hours per week. As the role involves collaboration across different time zones, you should be able to work flexibly. Working hours can be adjusted to accommodate your study schedule and exam periods.

Responsibilities

  • Submitting purchase requisitions (PRs) and supporting the purchase order (PO) process, including tracking progress and following up as needed.
  • Assisting with Genmab’s new vendor setup and onboarding process.
  • Preparing and submitting Supplier Escalation Forms for non-PO Health Authority payments, when applicable.
  • Tracking contract approvals in GenContracts and preparing Task Order and Change Order templates.
  • Tracking and maintaining relevant operational data and documentation to ensure accurate and up-to-date records.
  • Supporting the Operations & Resources Manager by maintaining and updating the contractor tracker, particularly during periods when the manager is out of the office, to help ensure continuity of operations.
  • Working closely with the ORM and Global Regulatory Affairs Leadership teams to help ensure that departmental activities and initiatives run smoothly.
  • Providing general administrative and coordination support to contribute to the efficient operation of the Global Regulatory Affairs organization.
  • Helping the team maintain a clear overview of ongoing activities, deadlines, documentation, and follow-up actions.

Requirements

  • You are currently enrolled as a student.
  • You are comfortable using Microsoft 365 applications such as Outlook, Excel, PowerPoint, Teams, and SharePoint.
  • You communicate confidently in English, both verbally and in writing.
  • You have strong organizational skills and enjoy coordinating multiple activities at the same time.
  • You are structured and have an eye for detail, enabling you to track data, documents, deadlines, and ongoing activities effectively.
  • You are proactive, service‑minded, and comfortable working both independently and as part of a team.
  • You are curious, eager to learn, and adaptable when priorities change.
  • You are able to work approximately 15 hours per week, primarily during the afternoons, due to collaboration across different time zones.
  • Previous experience in an administrative or operations‑focused student job is considered an advantage.
  • An interest in AI tools, such as Microsoft Copilot or ChatGPT, is considered an advantage.
