As a Site Assistant, you will play a vital role in assisting our project/site team by documenting, reporting, and tracking the progress of work on-site. This part-time position, approximately 20 hours per week, is essential for ensuring the timely and accurate reporting of the project’s day-to-day activities, maintaining proper records, and liaising with various stakeholders to keep them updated on project milestones.

Key Responsibilities:

In the role of Site Assistant, you will be responsible for several key areas that are essential to the smooth operation of on-site activities. First and foremost, you will monitor and track daily work progress, ensuring that accurate records of completed tasks are maintained. This will involve collecting data on project milestones and deliverables to ensure that all information reflects the current realities on-site. You will prepare daily, weekly, and monthly progress reports for the site and project manager, as well as for key stakeholders, providing them with timely updates on the project's status.

Another critical aspect of your role will be documentation. You will maintain detailed and organized records of all site-related documents, including work schedules, labor records, material deliveries, and other relevant materials. Assisting in the preparation and updating of project documentation, such as timesheets, logs, drawings, and technical documents, will also be part of your responsibilities. It will be crucial to ensure that all documents are accurately filed, kept up-to-date, and compliant with company standards and procedures.

Effective communication is essential in this position. You will liaise with the site management team, contractors, and suppliers to ensure that progress is communicated efficiently. Additionally, you will be responsible for communicating with the project team about any potential delays or issues, escalating concerns when necessary. Your role will also involve assisting in the coordination of meetings and maintaining minutes for record-keeping and follow-ups.

As a Site Assistant, you will support the site manager in scheduling tasks and tracking their completion. You will assist in coordinating various site activities, including inspections, delivery schedules, and interactions with contractors. Furthermore, it will be your responsibility to ensure that health and safety standards are adhered to on-site and to document any incidents or safety issues that may arise.

Lastly, you will be involved in data entry and analysis. You will input data related to work progress, materials, and resources into project management software or spreadsheets. Assisting in analyzing this data will help identify trends, inefficiencies, or areas that require additional attention. You will also help update project timelines, Gantt charts, and other visual aids used for tracking progress, ensuring that the project remains on schedule.

Qualifications:

  • Currently enrolled in a relevant educational program (e.g., engineering, project management, construction management).
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in project management software and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to work collaboratively within a team and manage multiple tasks simultaneously.
  • A proactive approach to problem-solving and the ability to anticipate project needs.
