Job Overview

We're seeking a skilled Workplace Operations Specialist to join our team at Zendesk. As a member of our Workplace Experience team, you'll play a crucial role in delivering exceptional service to our employees, customers, and guests.

This is a 100% office-based position, and you'll be responsible for managing the daily reception duties, leading onsite workplace operations, and providing exemplary customer service to employees.

Key Responsibilities:
  • Reception Management: Work at the office front desk, manage daily reception duties, and be the first point of contact for employees and visitors.
  • Workplace Operations: Lead onsite workplace operations, ensuring a safe and efficient work environment.
  • Customer Service: Provide exceptional customer service to employees, responding to their needs and inquiries in a timely and professional manner.
  • Ticket Management: Manage the ticketing system and office help center, ensuring a high level of customer satisfaction.
  • Vendor Management: Manage vendor relationships for services such as cleaning, security, maintenance, pest control, and waste management.
  • Procurement: Partner in the procurement process, attending meetings and maintaining ongoing communication with vendors.
  • Budget Management: Manage the workplace operational budget for your office, ensuring effective use of resources.
  • Audit and Compliance: Implement a system of regular walk-throughs and audits of the office, ensuring compliance with health and safety standards.
  • Events and Communications: Partner with internal teams and external vendors to deliver all in-office events for employees, including wellness events and team communications.
  • Record-Keeping: Record all office-related expenses and maintain accurate records.
  • Maintenance and Facilities: Oversee all planned and reactive maintenance, including HVAC, security systems, lighting, emergency lighting, and life safety systems.
  • Food and Beverage Program: Lead the food and beverage program, ensuring a positive experience for employees.
  • Seating Plans: Maintain up-to-date office seating plans.
  • Global Partnerships: Partner with global managers to support effective implementation of their programs.
  • Policies and Procedures: Help create and follow team policies and procedures.
Requirements:
  • Experience: Minimum of 3 years' experience in a fast-paced Workplace/facilities role in a tech environment.
  • HVAC Knowledge: Knowledge base of HVAC systems essential.
  • Customer Service: Ability to consistently deliver a high level of customer service.
  • Communication: Strong communication skills across employees at all levels within the organization.
  • Problem-Solving: Demonstrated ability to handle multiple tasks with little or no supervision but know when to escalate and collaborate.
  • Language Skills: Fluent English (C1 or C2) and Danish.
