Responsibilities:

  • General Coordination:

    - Manage complex calendars for the Tribe Lead, ensuring efficient scheduling and time management.

  • Organize and facilitate major tribe events such as Town Halls, Corporate Development Updates, Tribe Reviews, and Cluster Meetings.

  • Coordinate logistics for off-site gatherings, travel arrangements, and complex meeting setups/off-sites.

  • Manage administrative tasks including access rights, distribution lists, updating organizational charts, and maintaining tribe-wide communication channels.

  • Event and Meeting Management:

    - Arrange internal and external meetings, including venue booking, transportation, and catering.

  • Handle unexpected logistic challenges swiftly and efficiently.

  • Support for Agile Processes:

    - Assist Business Manager in deliveries of tasks related to financial and organizational performance.
  • HR & Staffing Support:

    - Validate organizational details for engagement surveys.

What We Look For:

  • 2-3 years of relevant experience in administrative support or office management, preferably within an international setting.
  • Strong organizational skills and the ability to manage complex schedules and events.
  • Proficient in MS Office, MS Teams, and administrative systems.
  • Clear communication skills and the readiness to respond efficiently in dynamic conditions.
  • A team player who can also efficiently manage their tasks effectively and be proactive.
