The Role
To provide administrative support and assistance to the education teams to administer the booking and tracking of educators, programs and ordering of materials for field education (including independent contractors), budgets, purchase orders and coordination of programs and events associated with Education. Overall responsibility for the country Academies.
Professional Experiences- Min 2+ years' administrative experience in a professional office environment in same/similar industry sectors i.e. beauty, luxury and possibly fashion.
- Ideally knows how haircare industry works or has experience of sales support in similar FMCG.
- Cosmetology or salon experience a plus as well knowledge of the hair care industry is preferred.
- Microsoft Office Suite including Word, PowerPoint, Excel, and Outlook as well as sales tools and systems: SAP, Power BI, and Sales Force.
- Fluent in one of the Nordic languages (country specific) as well as English.
- Requires clear verbal and written communication and above average writing, grammar, spelling, and proof-reading skills.
Key Responsibilities
Schedule and coordinate High Class in-Salon and Academy Education Trainings (40%):
- Arrangement of first class meetings, trainings and special events including all field communication, travel, hotel, ordering, transport, and catering.
- Provide administrative support and assistance for the Education teams as well as act as liaison with the field team.
- Ensure that the Academy is attractive, tidy, and ready for seminars and trainings.
- Attend events and seminars in Academy.
Update of Systems and program files (10%):
- Utilizing existing administrative systems /Kao SAT systems where available to book and track events, registrations and create report for AD Education and country Education manager in the beginning of each month.
- Handling and responding to inquiries in the education email.
Translations (10%):
- Proof-reading of local language to ensure professional material of high quality.
- Balance, reclass, and review education budgets.
- Conduct monthly budget meetings with FP&A (all brands) and education AD.
- Ensure correct requisitions of Purchase requisitions, handling of invoices (FIORI + VIM SAP).
- Vendor Creating (fill form and send to MDM/accounts payables).
Handling of Freelancers (10%):
- Book hotel & flights for freelancers (Concur).
- Artist/freelance booking and cancellation.
Different projects and ad hoc task – examples and not relevant for all countries (20%):
- Translations from English to local language.
- Support Customer Service in peak periods, unforeseen illness and during annual leave.
- Support sales team with bookings, catering, etc.
- Some postings in local language (Finland only).
- Other ad hoc tasks.
