Overview

This is a great opportunity for an experienced and highly organized professional to take on a part-time role as Office Manager. This position will ensure the smooth and efficient operation of our Danish office. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment.

Responsibilities

  1. Oversee the overall office experience in our Danish office.
  2. Ensure the office is welcoming and tidy, set up meeting rooms, order food and beverages, water plants, handle mail and courier services, and maintain office supplies.
  3. Receive and arrange lunch and clean up the buffet after lunch.
  4. Greet and assist visitors, ensuring a professional and welcoming experience.
  5. Coordinate travel bookings and logistics.
  6. Continuously improve office processes to enhance efficiency and experience.
  7. Manage vendor and landlord contracts, as well as office security and access systems.
  8. Support office safety and work environment measures.
  9. Assist Office Leads and Office Community Leads with office budgets, capex/opex processes, and purchase orders in collaboration with Finance.
  10. Act as the super user for the desk booking system.
  11. Provide support for office events, including venue bookings and purchasing materials.
  12. Handle ad-hoc administrative tasks and special projects, such as office moves.
Qualifications

  1. Strong ability to multitask and prioritize tasks in a fast-paced environment.
  2. Highly organized with a proactive and problem-solving mindset.
  3. Excellent communication, interpersonal, and relationship-building skills.
  4. Ability to collaborate effectively across multiple teams and stakeholders.
  5. Comfortable working in an agile environment and adapting to change.
  6. Strong attention to detail and analytical problem-solving skills.
  7. Background in managing office operations.
  8. Proficiency in English (both written and spoken) is required.
  9. Experience working within a large corporation is a plus.
  10. Knowledge of workplace safety and work environment regulations is a plus.
  11. Experience managing office budgets and financial processes is a plus.
