Facility Support Specialist

Job Description

As a facility support specialist, you will play a crucial role in supporting our daily administrative tasks and contributing to the success of our team. Your primary responsibilities will include:

Purchase Orders (POs)
  • Create and manage POs, ensuring timely goods receipt.
  • Collaborate with partners to pre-approve and align POs.
  • Monitor outstanding purchase orders to ensure timely completion.

Work Orders (WOs)
  • Track and monitor work orders from initiation to completion.
  • Perform random checks of completed work orders before goods receipt, as per LEGO Group requirements.
  • Document and maintain traceability of work orders for future reference.

Budget Management
  • Prepare, track, and follow up on budgets in collaboration with stakeholders.

Administrative Tasks
  • Manage lunch tickets and assets.
  • Control asset registers and generate POs related to assets.
  • Monitor and track PO receipts and assignments.

System Management
  • Utilize and administer Planon software.
  • Provide support for tasks related to Dalux.

Support Tasks
  • Assist specialists with various tasks and projects.
  • Support the party committee and department with events and gifts.

Requirements

  • You must be enrolled in an educational institution during your employment as a student worker.
  • You should have a relevant education in administration, finance, facility management, or similar fields.
  • You should be structured, detail-oriented, and responsible.
  • You should possess strong communication skills and be able to collaborate effectively across teams.
  • You should have experience with or be able to quickly learn systems like Planon and Dalux.
  • You should be proficient in Excel and other Office programs.
  • You should speak and write English at a professional level.
