The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The Climate Change Division is the lead Division charged with carrying out the functions of UNEP in the field of environmental Climate Change. To fulfill its mandate, the work of the Climate Change Division focuses on: working with Members States and Partners to accelerate and support a just transition by addressing mitigation and adaptation gaps through enhancing implementation capacity, access to finance and technology, and building resilience. The Climate Change Division promotes sustainable development and effective policies for climate stability; support action so that countries progress on decarbonization, dematerialization, and resilience pathways in line with their climate commitments, aspirations, and needs; and foster transparency in reporting. The UNEP Copenhagen Climate Centre (UNEP-CCC) is a leading international research and advisory institution on energy, climate and sustainable development. As a collaborating center of UNEP, UNEP-CCC works with a wide range of international institutions, national governments and research organizations to assist developing countries in their efforts to move toward low carbon, climate resilient and sustainable development. UNEP-CCC has a staff of approximately 60 professionals from over 20 countries and currently implements project activities in more than 60 countries. This position is located in the UNEP-CCC, in the Copenhagen, Denmark duty station. Under the overall supervision of the Chief, Project Management and Administration Unit and the direct supervision of the Administrative Officer, the incumbent will be responsible for the following duties:
1. Budget and Finance
- Assist in the preparation and review of financial and human resource proposals and requirements.
- Consolidate budgets for Headquarters, trust funds, grants, and procurement activities.
- Monitor expenditures and compare them with approved budgets; prepare necessary adjustments.
- Support managers in developing resource requirements for budget submissions.
- Help prepare and finalize budget performance reports, analyzing variances between approved budgets and actual expenditures.
- Generate and customize financial reports from UMOJA.
- Coordinate with other finance and budget staff on related matters during budget preparation and reporting.
2. General Administration
- Draft routine correspondence and respond to inquiries on administrative, financial, audit, and personnel matters.
- Coordinate extensively with service units and liaise regularly with team members at Headquarters and in the field.
- Perform various administrative tasks, such as:
- Managing operational travel programmes.
- Monitoring accounts and processing payments to vendors and individual contractors.
- Planning physical office space.
- Identifying office technology needs and maintaining equipment, software, and systems.
- Organizing and coordinating seminars, conferences, and translation services.
- Collect and analyze data, and prepare data presentations and reports to support information sharing, planning, and decision-making.
- Create visual materials and update information resources, such as web pages and brochures.
- Guide, train, and supervise more junior General Service staff.
- Perform other related duties as required.
