Key Responsibilities

Reporting to the Reception & Mailroom Manager and the Facility Manager, the Receptionist & Mailroom Administrator provides support for both Reception and Mailroom team.

Receptionist duties include the following but not limited to:

  • Welcome visitors arriving at the office and inform the relevant meeting host.

  • Manage meeting room booking requests received via email and/ or telephone.

  • Maintain the cleanliness of the Reception and Client area at all times.

  • Provide event support for the Reception, Client area and event spaces.

  • Liaise with Security team for any discrepancies in visitors' clearance into the office premises.

  • Attend to walk-in queries pertaining to consumer/ investment banking transactions.

  • Assist with beverage orders and serve to clients during client meetings.

  • Perform ad-hoc duties as required e.g. administrative support, floor walks, meeting room checks.

  • Prepare next day's Guest List and Meeting Room Setup List.

  • Any other tasks assigned by the superior.

Mailroom duties include the following but not limited to:

  • Manage document related enquiries in-person, via emails or phone call.

  • Receive inbound deliveries, couriered items e.g. mail, packages, office stationeries or mailing supplies.

  • Ensure details of intended recipient e.g. name, address, company, is correct upon acceptance of each item and record delivery details.

  • Prepare, record details and process local and international inbound and outbound deliveries with the assigned courier.

  • Perform document and mail related activities (filing, collecting, sorting, counting/recording and franking).

  • Distribution of mails and packages to recipient's desk during routine rounds.

  • Facilitate A.R.T kit collection and record user details.

  • Cleaning and disinfecting of Mailroom counters regularly.

  • Any other tasks assigned by the superior.

Requirements

  • Min NITEC Certification OR 5 years relevant experience in Reception

  • Strong command of the English Language

  • Strong in Microsoft Applications such as Word, PowerPoint and Excel
