About the Role
The Office Manager will oversee the daily operation of the office, ensuring efficient workflow and maintaining a positive work environment. This role involves managing office supplies, equipment, and inventory, as well as coordinating office activities and events.
Key Responsibilities
- Office Management
- Supervise daily office operations to ensure efficient workflow.
- Manage office supplies, equipment, and inventory.
- Ensure the office looks presentable and well maintained.
- Coordinate office activities and events to enhance workplace culture.
- Organize team-building activities.
- Maintain relationships with vendors, service providers, and the landlord.
- Optimize office layout for functionality and productivity.
- Manage external and internal guests and coordinate and organize events and meetings.
- Oversee maintenance and security of office premises.
- Manage facility projects, including renovations and relocations.
- Ensure compliance with health and safety regulations.
- Conduct regular inspections to maintain a safe and clean environment.
- Coordinate repairs and maintenance with external contractors.
- Provide administrative support to the leadership team.
- Coordinate travel.
- Handle confidential information with discretion.
- Assist in preparing for leadership- and other meetings as well as coordinating actions from meetings.
- Support cultural integration initiatives.
- On-/off-boarding activities.
- Ad hoc HR support and reporting.
- Document management and knowledge sharing.
Requirements
- Excellent organizational and multitasking skills, strong at keeping oversight.
- Exceptional communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to handle sensitive information with confidentiality and professionalism.
- Customer focus and strong ability to service colleagues and guests and finding pragmatic solutions.
- A team player mindset, able to work effectively at all levels of an organization and ability to work pro-actively.
- Proficiency in written and spoken Danish and English.
