财务与运营支持

  • 协助财务与运营团队处理采购订单、发票、费用报销及相关跟进。
  • 监控备用金、订阅项目及办公室预算,确保资金使用合规与透明。

人力资源与团队支持

  • 作为本地共享服务中心,负责员工全生命周期的人力资源核心运营,包括入职、离职、劳动合同管理及人事档案维护。
  • 与人力资源及薪酬团队协作,管理考勤、休假、差旅及薪资流程,确保数据准确与符合法律要求。
  • 优化本地化工作流程、操作规范及知识文档体系,参与制定并更新本地政策,确保与全球框架保持一致并符合当地法规。
  • 主导本地招聘工作,包括简历筛选、面试安排及候选人沟通,确保招聘流程高效且专业。
  • 监督绩效评估流程,并依据丹麦劳动法及当地雇佣法规维护良好的员工关系。
  • 策划并组织培训项目及文化建设活动,增强员工参与度、内部沟通及积极的组织文化氛围。

合规与政策管理

  • 确保办公运营、健康与安全及基础数据保护等相关公司政策的执行与合规。
  • 系统性管理并维护公司重要文件、许可证及内部档案,确保其有序且易于查阅。

任职资格

教育与经验

  • 商业管理、办公室管理或相关专业的大专或本科学历。
  • 8年以上办公室管理或行政相关工作经验,具备物流、进口或零售行业经验者优先。
  • 具备多站点或混合业务模式(如直营店网络、代理合作)支持经验者优先考虑。

技能与特质

  • 具备高度的组织能力、积极主动及服务导向意识。
  • 优秀的沟通与人际交往能力。
  • 熟练使用 MS Office 办公软件,具备基础 ERP 或 CRM 系统及常用办公设备的操作经验。
  • 能够在多任务环境中有效管理优先级,既能独立工作,也能高效协作。

Key Responsibilities:

Office Administration & Coordination

  • Manage all administrative functions, including reception, mail, office supplies, equipment, and facilities.
  • Act as the point of contact for internal teams and external vendors for office-related matters.

Support to Direct Stores & Agents Operations

  • Provide logistical and administrative support for both Direct Store operations and Agent activities.
  • Coordinate documentation, scheduling, and communication flows related to vehicle deliveries, service partners, and external stakeholders.

Financial & Operational Support

  • Assist the finance and operations team with purchase orders, invoicing, expense reporting, and follow-ups.
  • Monitor petty cash, subscriptions, and office budgets.

HR & Team Support

  • Act as the local share service center to deliver core HR operations throughout the employee lifecycle, including onboarding, offboarding, labor contract administration, and personnel file management.
  • Coordinate with HR and Compensation teams to manage attendance, leave, travel, and payroll processes, ensuring data accuracy and legal compliance.
  • Optimize localized workflows, operating procedures, and knowledge documentation. Contribute to the formulation and update of local policies, ensuring alignment with global frameworks while complying with local regulations.
  • Lead and execute local recruitment activities, including CV screening, interview scheduling, and candidate communication, ensuring efficient and professional hiring experience.
  • Oversee performance evaluation processes and manage employee relations in compliance with Danish labor laws and local employment regulations.
  • Plan and organize training programs and cultural events to strengthen employee engagement, internal communication, and a positive organizational culture.

Compliance & Policy Administration

  • Ensure adherence to company policies regarding office operations, health & safety, and basic data protection compliance.
  • Maintain key company records, licenses, and internal documents in an organized and accessible manner.

Qualifications:

Education & Experience

  • Diploma or Bachelor's degree in Business Administration, Office Management, or similar.
  • 8+ years of experience in office management or administrative roles, preferably in a logistics, import, or retail environment.
  • Experience supporting multi-site or hybrid business models (e.g. store networks, agent partnerships) is a plus.

Skills & Attributes

  • Highly organized with a proactive and service-oriented mindset.
  • Excellent communication and interpersonal skills.
  • Comfortable using MS Office, basic ERP or CRM systems, and general office technology.
  • Ability to manage multiple priorities and work both independently and collaboratively.
