Executive Assistant to the Head of Global People

We are seeking a highly proactive Executive Assistant with a 'can do' attitude to support the Head of Global People & Culture. The ideal candidate will be the 'right hand' for the Head of P&C, with a good business understanding and a strategic approach, actively thinking ahead, planning and keeping track of tasks and deliverables. This role requires someone who can confidently step in as a go-to person in the absence of the Head of P&C, taking ownership of priorities and maintaining momentum. Experience with HR transformation is a plus, and the ability to contribute strategically when needed will be highly valued.
The candidate will be responsible for driving and/or supporting projects, creating presentations and preparing and facilitating communication within P&C and external stakeholders, and providing administrative support (managing schedules and meeting coordination), including gathering and/or preparing material and quality checking material.
Key Responsibilities:
- Manage the Head of Global People & Culture's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Coordinate and organise internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Serve as a liaison between the Head of Global People & Culture and other departments, ensuring effective communication and collaboration.
- Manage confidential and sensitive information with discretion and professionalism.
- Conduct research and gather information to support decision-making and strategic planning.
- Manage special projects and initiatives as assigned by the Head of Global People & Culture.
- Drive the monthly reporting process (ensure input is delivered on-time from input providers, quality check material, etc.).
- Drive, coordinate and facilitate work around European Works Council.
- Assist in the preparation and management of departmental budgets and expenses.
Qualifications:
- BSc or MSc degree in business administration, Human Resources, or a related field.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills in both Danish and English.
- Proficiency in Microsoft Office Suite; great PowerPoint skills will be an advantage.
- Ability to work independently and manage multiple tasks simultaneously.
- High level of professionalism and discretion in handling confidential information.
- Strong people skills and the ability to build relationships with stakeholders at all levels.
- Meticulous and initiative-taking.
- Strong problem-solving skills.
- Ability to adapt to changing priorities and work under pressure.
- High degree of integrity and ethical standards.
Preferred Qualifications:
- Knowledge of HR practices and procedures.
- Experience or familiarity with HR transformation and change management initiatives.
