The position:
The Administrative assistant will support the Nordic Team in close cooperation with the Management Assistant & Office Manager with various administrational tasks. The position will report to the General Manager.
Key responsibilities:
- Manage purchase orders: Oversee the creation, tracking, and management of purchase orders and goods receipt to ensure timely procurement of goods and services.
- Monthly closure: Assist in the monthly closure process including overview of all open Purchase Orders and follow up.
- Releasing invoices: Process and release invoices for approval, ensuring accuracy and compliance with company policies.
- Vendor creations: Manage the creation and maintenance of vendor records, ensuring all information is accurate and up-to-date.
- Administration of SharePoint Site and Folders: Oversee the organization and maintenance of our general SharePoint site and folders.
- Assist in reporting to authorities: Help prepare and submit reports to relevant authorities as required.
- Handle incoming post: Manage and distribute incoming mail and packages to the appropriate departments.
- Assist Office Manager: Support the Office Manager in planning and preparing for various day-to-day office operations.
- Maintain office utilities: Ensure office supplies and utilities are well-stocked and organized.
Qualifications:
- Experienced in Microsoft Office and SAP
- Educational background from Administration / Business or equivalent
- Passionate to provide service of high quality to a passionate team
- Have a good understanding and experience from working with financial processes
- Have an eye for both details and quality
- Ability to prioritize and keep track of the different tasks with a business-oriented solution approach
- Ability to work successfully in multi-cultural teams
- Experience working in an international environment
- Business fluent in Danish and English (verbal and written)

Our Nordic office in Copenhagen is situated in “Woods” office building where sustainability plays a big part, from recycled building materials, solar cells and upcycled furniture to social responsibility and a positive contribution to the local environment.
