This role is an exciting opportunity to join Align Technology, Inc. as an Administrative Support Specialist in our Copenhagen office.

You will be responsible for providing administrative support to the commercial business teams across the Nordics, ensuring seamless day-to-day operations and delivering high-quality results.

Key Responsibilities:
  • General Administration & Management Support:
  • Provide overall administrative support to the commercial business teams, including coordinating meetings, appointments, and travel arrangements.
  • Lead and organize events across the Nordics, ensuring timely execution and excellent outcomes.
  • Responsible for processing invoices, travel expenses, and other expenditures, ensuring accurate and timely completion.
  • Manage purchase orders, including creation, follow-up, and payment processing for invoices.
  • Edit, review, and proofread documents, spreadsheets, and presentations, using advanced computer skills and knowledge of office software packages.
  • Analyze business data using internal tools, including Salesforce, Insight, and Power-BI, to inform decision-making and drive growth.
  • Develop and deliver training to new hires on administrative policies and procedures, ensuring a smooth onboarding experience.
  • C coordinate candidate interviews with Talent Acquisition, providing exceptional customer service and supporting the recruitment process.
  • Distribute and handle incoming post and deliveries, while also managing outgoing mail and packages.
  • Perform other small projects and duties as required, demonstrating flexibility and adaptability.
Facilities, Equipment & Car Pool Management:
  • Organize and maintain equipment, furniture, and supplies for the team, including remote employees across the Nordics.
  • Ensure each employee has the necessary devices, including computers, phones, and other equipment, to perform their job duties effectively.
  • Collaborate with other offices in the EMEA region, including EMEA HQ in Switzerland, to ensure seamless coordination and communication.
  • Follow through on maintenance agreements and contracts, ensuring prompt and effective resolution of issues.
  • Prepare meeting rooms for use, including equipping them with necessary materials and catering when required.
  • Coordinate and monitor company cars, working closely with the leasing company to ensure efficient and cost-effective management.
  • Ensure proper hand-over and return of company cars to/from employees, training new hires on car policies and monitoring adherence.
  • Regularly check driver licenses and maintain accurate records, adhering to company policies and regulatory requirements.
In This Role You'll Need:

We're looking for a highly organized and dynamic individual who can thrive in a fast-paced environment.

  • Minimum 3 years' related work experience, with a focus on administrative and supervisory roles.
  • Fluent English language skills, with additional Nordic languages being a plus.
  • Knowledge of accounting, data, and administrative management practices and procedures.
  • Familiarity with clerical practices and procedures, including Microsoft Office software.
  • Understanding of business and management principles, with the ability to apply theoretical concepts in practical situations.
  • Excellent communication and problem-solving skills, with a keen eye for detail and accuracy.
  • Ability to work independently and as part of a team, with strong time management and organizational skills.
Salary and Benefits:

The estimated salary range for this position is between €40,000-€60,000 per annum, depending on qualifications and experience.
