Executive Assistant in Novo Holdings' People

We are looking for an Executive Assistant to join our People & Organisation team.
As our Executive Assistant, your role will be to support our Chief People Officer and play a pivotal role in coordinating and supporting the People & Organisation’s team, consisting of 15 people globally.

Support our P&O team while proactively contributing to the culture in Novo Holdings
Your key task will be to proactively provide high quality administrative support to our Chief People Officer, as well as be a trusted go-to person for the P&O team.
In this role your responsibility will be:
- Proactively handle Chief People Officer’s calendar and travel, manage time and handle changes.
- Coordinate travel and meeting attendance from A to Z.
- Proactively coordinating and scheduling the annual wheel of the P&O leadership team.
- Support the coordination of selected annual organisational processes (e.g. coordinating the onboarding process, setting up leadership meetings related to our annual performance process, the process of Engagement Survey etc.).
- Create and proofread presentation materials for P&O processes, external meetings or events.
- Collaborate with our event manager and help coordinating social activities in Novo Holdings (e.g., inspiring team off-sites and social events in Denmark and abroad).
- Build and maintain relationships with internal and external stakeholders.
- Ad hoc administrative work and support to the P&O department.
As Executive Assistant you will be part of our cross-departmental EA network, where we share knowledge and experiences from diverse backgrounds, providing a great platform for knowledge sharing and development, helping and support each other and optimizing ways of working across Novo Holdings.
About you
We are looking for a person with a strong motivation for the Executive Assistant tasks. You have a minimum of five years of relevant experience as EA/PA or Team Coordinator, preferably from professional services, financial institutions, or the investment environment. We imagine that you have:
- Minimum five years of proven experience as an EA/PA/supporting executive level individuals in large professional organizations.
- Ideally, experience from a professional services company (consulting, banking, or law firm) or from financial institutions, or the investment environment.
- Stellar references and a proven track record of high performance.
- Strong presence and a confident and accommodating personality.
- Fluency in English, verbally and written.
- Highly proficient in applying IT tools in daily tasks and operations.
- A recent track record of effectively using Microsoft Office 365 and a curiosity in applying new digital tools in your work.
Further, we expect your personal qualifications to be:
- You make sure to know the Chief People Officer's objectives, goals, deadlines and deliverables daily, weekly, monthly and quarterly. You proactively follow through behind the scenes in furtherance of these.

- You are proactive, always two steps ahead and like resolving admin issues. You fill the gaps, and you can quickly re-prioritise tasks, when needed.
- You have a sense of urgency and attention to detail and a demonstrated ability to handle highly sensitive and confidential information with discretion.
- You possess intelligent and intellectual curiosity in learning about the work of the organization.
- You reflect values, culture and brand - at all levels, internally and externally. You make a strong positive impression on key contacts.
