Job Summary

We are seeking an Executive Assistant to provide high-level administrative support to our dynamic team, handling diverse coordination tasks, and serving as a sparring partner and go-to person for our team.

Your key responsibilities will include:

  • Managing calendars, scheduling meetings, booking travel, and managing expenses
  • Supporting the Energy Markets Team with administrative tasks, including meeting scheduling and travel arrangements
  • Planning off-sites, social gatherings, and ensuring smooth travel management
  • Assisting with onboarding and offboarding processes, becoming the go-to expert for internal teams
  • Collaborating with our Leadership team to define department priorities, handle internal communication, and coordinate change projects
  • Main Responsibilities Include:
    • Establishing a strong network within our EA community to stay up-to-date on internal policies and procedures
    • Participating in various assignments and projects, preparing communications, sharing materials, and coordinating activities
    • Resolving day-to-day practical issues and queries, including coordination with IT Service Desk and HR
    • Supporting approval processes for invoices and other administrative tasks, including budget follow-up
    • Serving as a great team ambassador, fostering trust-worthy relationships with managers, leadership, and stakeholders

Requirements

We are looking for someone who is highly organized, proactive, and able to work independently. The ideal candidate will possess excellent communication and interpersonal skills, with the ability to build strong relationships with colleagues and stakeholders.
